Business Solutions and Development Officer


 

Duties and Responsibilities

1. Warehouse Management and Optimization

  • Evaluate distributor warehouse and recommend proper layout and workflow improvements.
  • Propose and design warehouse setup including:
    • Proper racking system
    • Pallet layout per SKU
    • Stock arrangement guidelines
    • Picking and counting procedures.
  • Conduct warehouse personnel training on:
    • Inventory handling
    • Stock arrangement
    • Picking and packing processes
    • Cycle counting and stock accuracy practices

2. Modern Trade Operations Management

  • In-charge with the checking of operational processes of Modern Trade and all of its partner stores (Depots and Hubs) following MPCTI standard procedures.
  • Ensure compliance with operational guidelines, workflows, and reporting requirements.
  • Monitor distributor operational (order to deliver) and recommend improvements to enhance efficiency.

3. ERP System Setup and Management Hardware Support

  • Lead ERP system on-boarding and setup for new and existing stores (Depots and Hubs).
  • Coordinate with the ERP provider for all system-related need such as customization, updates, or process improvements.
  • Test and validate system functions before full implementation.
  • Present system improvements and required changes to management for approval.
  • Manage and maintain computers, printers, routers, equipment, and other hardware terminals.
  • Perform software installation, updates, and troubleshooting across all locations.
  • Conduct regular system helath checks and implement corrective actions.
  • Monitor hardware performance and implement improvements to enchance speed and reliability.
  • Install, configure, and maintain POS, ERP, CRM, and related software systems.
  • Support integration between systems and ensure sychronization of data between branches and the central database.
  • Perform regular data backup and recovery procedures.
  • Collaborate with IT vendors and partners for system updates or software optimization.

4. Training and Process Development

  • Conduct training for Depots and Hubs' owners, sales teams, warehouse staff, and other personnel.
  • Develop training modules, manuals, and process documentation for both operations and ERP usage.
  • Deliver presentations and modules during onboarding, refreshers, and audit sessions.
  • Ensure that all staff understand SOPs, reporting, ordering flow, and ERP transactions.
  • Provide comprehensive remote and on-site technical support to Modern Trade teams for all system-related, software, hardware, and machine/equipment concerns, ensuring minimal downtime and uninterrupted operations.
  • Serve as the primary point person for all system and equipment usage concerns, addressing inquiries, resolving issues, and escalating complicated cases to the appropriate technical teams when needed.
  • Develop complete user documentation, including user manuals, troubleshooting guides, workflow diagrams, quick-reference sheets, and visual step-by-step instructions for all systems and machines.
  • Create structured training modules covering system navigation, machine operation, maintenance procedures, and troubleshooting protocols tailored for different user levels.
  • Conduct regular user training sessions, both virtual and on-site, demonstrating proper system usage, machine handling, maintenance routines, and best practices.
  • Perform actual hands-on demonstrations for equipment and system use to ensure employees fully understand operational procedures and safety guidelines.
  • Lead onboarding training for new hires, ensuring they are fully equipped to operate company systems and machines from day one.
  • Provide continuous refresher training whenever updates, upgrades, or new systems/equipment are introduced across franchise locations and hubs.
  • Monitor user performance and training gaps, providing additional support or training interventions where needed to improve proficiency and reduce operational errors.
  • Develop assessment tools and certification tests to ensure users meet competency levels for systems and machine handling.
  • Gather user feedback on system usability, pain points, and training effectiveness; consolidate findings into improvement recommendations for management and system developers.
  • Coordinate with system developers and vendors for system enhancements, bug fixes, and feature requests based on user reports and operational needs.
  • Maintain a training database and documentation repository, ensuring all materials are updated, accessible, and aligned with the latest system versions and equipment specifications.
  • Ensure compliance with IT, security, and operational policies across all system and equipment usage during trainings and support activities.
  • Support system rollouts and deployments, ensuring users are properly trained and transition smoothly to new tools and processes.

5. Machine and Equipment Management and Maintenance

  • Conduct regular inspection, maintenance, and calibration of all operational machines and equipment used in all locations by Modern Trade.
  • Perform troubleshooting and repair of defective machines or equipment to minimize downtime.
  • Maintain a preventive maintenance and calibration schedule and ensure compliance across all locations.
  • Coordinate with machine or equipment vendors for warranty services, replacement, or calibration certifications.
  • Maintain an updated equipment inventory list with serial numbers, maintenance logs, and calibration records.
  • Conduct on-site technical assessments before store openings or system deployment to ensure readiness of machines and systems.
  • Assist in the installation, configuration, and testing of new machines or equipment.
  • Develop and implement maintenance protocols and safety standards for machine handling and storage.
  • Evaluate machine performance and provide recommendations for upgrades, replacements, or process improvements.

Preferred Skills and Competencies

  • Experience in warehousing, inventory and management systems.
  • Familiarity with calibration tools and measurement equipment.
  • Basic understanding of electrical safety, networking, and automation.
  • Knowledge of remote support tools (e.g., TeamViewer, AnyDesk).
  • Strong organizational and documentation skills.
  • Hands-on approach with attention to detail and process improvement mindset.
